The Setup Protocol form is a standard part of Chateau Onboarding. It tells us what you want to include and exclude in your database. Please note, you can still change any items on this list after the onboarding process. Just contact our Support Team when you decide to do so.

If you choose to copy preferences from an existing database, skip sections 2 and 5. The following preferences are copied over from an existing Chateau Database if you choose this option:

Mapping considerations
This section helps us design your new database in an intuitive structure and ensures a smooth data transfer process.

Considering the data you will supply to us, how long do you want us to look back for DeActivated Components?
To align with your regulatory or administrative requirements, please specify how long we should look back for DeActivated components. These are for importing your past records only. We will never delete your future data without your permission.

How long do you want us to look back for Inspection records?
Considering the data you supply us from your current database, how far back do you want us to store Inspection records to bring over to your new database? These are for importing your past records only. We will never delete your future data without your permission.

Do you want to store Process Units in addition to Location Units (LUnits) for each component?
If you decide to use this, we will make Process Unit a required field. Please see the LUnit or Process Unit? article for the definitions of Location Units and Process Units.
Some sites have cases where regulations require tracking components in terms of the process they are associated with, for example, some regulations require you track all equipment where ethe benzene is produced, plus all the piping where the benzene is transferred, all the way to the Tank Farm and the tanks the benzene is stored in. This is over and above the Location Unit which would be the Tank Farm, the pipes run through different units.
Will you be using Chateau to help manage AVOs (sometimes referred to as “Visuals”)?
Chateau provides a simple and efficient way to schedule AVO inspections and track AVO events, and we highly recommend taking full advantage of this feature. However, if you already have an existing AVO management system and prefer to continue using it, we also offer the following alternative options listed on this form.

Special Component Status
This serves as a reminder, if you have any of the details listed on the form, please send them to support@ldartools.com for import. Please list your DOR frequency on the form. (DTM stands for Difficult to Monitor).
Special MMQ Setting
From the two available options, please indicate how you would prefer Chateau set to assess the MMQ (Monthly, Monthly, Quarterly) status when a component comes off of DOR (Delay of Repair), if you have MMQ components.
Special Upstream (or Survey) Setting
From the two available options, please indicate how you would prefer your database loaded for any application in which technicians are performing surveys of component groups or entire sites, rather than point-to-point, component-by-component inspections.
Work Performed Tracking Feature
Please indicate whether you would like to enable Chateau's feature enabling you to track, report on, and assess the number of days Technicians spend performing specific types of work (e.g., Focused Monitoring vs. DTM Monitoring vs. Tagging Projects, etc.). See our Work Performed article for more information.
What regulations, permits or consent decrees is your facility subject to? (e.g., VVa, HON, Reg 5, GGGa, BWON, etc.)
Please let us know the regulations, permits, or consent decrees your facility is subject to. We will draft a rule template for each one with monitoring frequencies, exemptions, leak definitions, and response days considered standards for these regulations.
We can potentially accommodate requirements outside the standard scope mentioned above, for example, Appendix K regulations.

Applying Rules to ComponentsThis will help us define how rules will be applied. Please be as specific as possible. Do you apply the regulation(s) you have to all the components in the database, or do you only apply them to certain components, and do we need to know which components those are?

Who will be the Administrators of your database? (required)
You will need at least one Administrator for your database. We recommend adding a second Administrator as a backup. See the Chateau Roles article for the definition of an Administrator. The rest of the roles will be assigned during your scheduled training.

Do you have any contractor employees who will be Administrators of your database?
This is where you might add any contractors you would like to be able to assign newly added users to the database. See the Chateau Roles article for the definition of an Administrator. This is an optional item.

Do you have any contractor employees who will be able to ADD USERS to your database?
This is where you might add any contractors you would like to be able to add new users to the Chateau database, for example, in a high turnover environment. This is an optional item and is separate from assigning a contractor employee the Administrator role.

Who can add a new user’s email to the Chateau system for your company?
We will use this list to populate your Can Add Users Security Group. See Can Add Users Security Group article for more information. This a required item.
