New Leak Opens While Component is on DOR
Occasionally, a unique situation arises where a component already on Delay of Repair (DOR) develops a new leak. Here’s how to manage this scenario:

New Regulatory Violation: If a component is on DOR for a previously identified leak, and a subsequent inspection fails, leading to a new regulatory violation, a new leak record will be opened in Chateau. This can happen for a couple different reasons, such as:
a new regulation was assigned to the component after it was put on DOR
the original leak didn’t violate the leak definition of one of the regulations already associated with the component.
Mitigation and DOR Update: If this newly-identified leak can’t be mitigated to comply with the requirements of the newly violated regulation, that specific regulation should be added to the existing DOR entry for the component. Once the regulation is added to the DOR, the new leak record should then be closed with the CloseWhy of DOR.
Component Replaced While on DOR
If a component on Delay of Repair (DOR) is replaced, often called a Replace in Kind (RIK), the best way to handle this in Chateau is by using the Equipment feature. Chateau is built to track RIKs through Equipment, so adding the new equipment ensures your records stay complete and your compliance reporting stays clean.
Why use the Equipment feature?
- It keeps your data tied to the actual equipment lifecycle, which is crucial for tracking maintenance history and compliance.
- It avoids breaking the audit trail or fragmenting your records.
- It simplifies future inspections and reporting.
Note that DeActivating the old component should be your last option as it is typically only used if your site’s procedures do not support the Equipment feature yet. If you must DeActivate, follow these guidelines:
- No extra repair attempts needed: There is no need to add a repair attempt just to document the component was replaced; this will be documented in the DORCloseWhy.
- Skip unnecessary inspection attempts: There is no need to add inspection attempts solely to close out the DOR.
- Choose the right DOR Close Why: Use options like “DeActivated” or “New Equip” from the standard picklist. If you want to be more specific, custom reasons can be added to the picklist (see Picklists for how to add new values).
